Terms & Conditions

The following Terms & Conditions apply to all clients, including representatives, agents, and individual passengers, who book ThaiFreeVisa.com’s VIP Airport Clearance service (referred to as “TFV” hereafter).

By submitting a booking request, confirming a reservation, and making payment, the client acknowledges that they have read, understood, and agreed to be fully bound by all terms outlined in the following.

These Terms & Conditions govern the use of TFV’s VIP Airport Clearance service and form a binding agreement between the client and TFV. Clients are responsible for reviewing these terms prior to booking, and continued engagement with the service constitutes acceptance of any updates or revisions that TFV may implement from time to time.

1. Payment, Refunds & Booking Confirmation

1.1. Non-Refundable Payment Policy

Once payment has been made, the service fee is non-refundable, which prevents exploitation of the service and protects TFV from last-minute cancellations or misuse of the staff’s reserved time and resources. However, the payment may be converted into credit for future use only if:

  • A flight is cancelled or disrupted due to circumstances outside the client’s control.
  • Entry is unexpectedly denied for reasons such as damaged passports, interviews, or other unforeseen events unrelated to TFV.

Credit CANNOT be issued if the client voluntarily chooses to go through immigration despite having booked VIP service.

1.2. Advance Full Payment Requirement

A booking is considered confirmed only once full payment is received. NO arrangements or staff deployment will occur without completed payment. This ensures TFV does NOT allocate staff or resources without financial commitment from the client.

1.3. Rate Adjustments

All service rates may change without prior notice due to operational conditions, airport rules, peak periods, or immigration policy updates. This allows TFV to adjust pricing based on actual airport or staffing conditions, preventing losses during high-demand periods or sudden regulation changes.

2. Communication, Information Accuracy & Confidentiality

2.1. Official Communication Channel

All coordination must be done via text-based platforms (e.g., messaging apps). TFV may refuse confirmations via phone call. Written communication provides proof, reduces mistakes, and ensures the operations team sees accurate information.

2.2. Confidentiality of Client Information

TFV will keep all personal information secure and will NOT share it with unauthorised parties. Information is used only for service coordination.

2.3. Client Responsibility for Accurate Information

Clients must provide correct and up-to-date:

  • Names and travel documents
  • Flight details
  • Required personal photos (e.g., arrival-day selfie)

TFV is NOT responsible for failures caused by inaccurate or late information. This reduces operational errors and protects TFV from claims caused by client misinformation.

2.4. Identity Verification Requirement

TFV may request the passport bio page, a selfie, or flight confirmation to verify identity before service approval in order to prevent impersonation, fraud, and illegal attempts to misuse TFV’s name at the airport.

3. Scope of Service & Limitations

3.1. Nature of VIP Airport Assistance

TFV assists passengers through VIP clearance lanes within the limits allowed by the airport and Immigration Bureau. TFV does NOT guarantee:

  • Faster processing during congestion
  • Exemptions from immigration rules
  • Approval of entry

All immigration decisions, including interviews, document checks, and denial of entry, are made solely by immigration officers.

3.2. Influence Over Immigration Decisions

TFV CANNOT interfere with or influence immigration outcomes. Officers may request documents or conduct inspections regardless of VIP status. All immigration determinations, including entry approval, refusal, or conditions of stay, are governed solely by Thai law and are decided at the discretion of official government officers. VIP Airport Clearance is a facilitation service focused on smoother airport navigation, NOT an exemption from legal requirements. For this reason, TFV CANNOT intervene in any decision related to immigration, documentation, eligibility, or compliance.

3.3. Compliance with Screening Policies

Clients may face checks, additional questioning, document verification, and/or secondary inspection. TFV CANNOT alter or bypass these procedures. Thai Immigration officers are empowered by law to perform security and compliance checks on any passenger at any time. This includes verifying travel history, financial stability, supporting documents, reason for travel, and eligibility for entry. These procedures apply to all passengers equally, including those using VIP or fast-track services. VIP status does NOT limit or restrict an officer’s authority. Therefore, TFV CANNOT prevent officers from asking additional questions, requesting documents, checking luggage, or directing a passenger to secondary inspection.

Immigration checks are part of Thailand’s border security system and CANNOT be modified or skipped by third-party service providers. TFV’s role is to support the client’s airport experience, such as escorting, coordination, and communications, NOT to influence legal screening processes. Any check, interview, or inspection initiated by Immigration is mandatory, and TFV is legally prohibited from interfering, providing assurances of outcomes, or requesting exceptions on behalf of the client.

3.4. Control Over Airport Conditions

TFV CANNOT control immigration queue length, staffing shortages, lane closures, or airport congestion. Service will be delivered in the best manner possible given real-time operational conditions. This prevents unfair complaints about delays caused by airport operations, NOT by TFV. Immigration queues, staffing allocations, lane openings or closures, and overall passenger flow are managed exclusively by airport authorities and/or the Immigration Bureau. These operational factors vary throughout the day and can change without notice due to security protocols, flight surges, emergencies, or internal airport decisions. TFV has NO authority to influence or modify these conditions.

4. Client Responsibilities & Cooperation

4.1. Adherence to Instructions

Clients must follow TFV guidance regarding meeting points, procedures, documents, and timing. Failure to cooperate may result in delays or forfeiture of service without refund or credit.

4.2. Conduct Requirement

Clients must act respectfully toward TFV staff, airport personnel, and immigration officers. Service may be terminated without refund if the client behaves aggressively, attempts to mislead officials, refuses to answer questions, and/or engages in disorderly or intoxicated behaviour. This prevents TFV from being associated with misconduct and protects staff safety.

4.3. Prohibition of Misrepresentation

Clients may NOT claim that TFV guarantees entry, has influence over immigration, is a government agency, and/or provides illegal shortcuts or special approvals. This prevents legal risk during audits or investigations and protects TFV’s brand.

5. High-Risk Passengers

5.1. Mandatory Disclosure

Clients with profiles that may attract immigration scrutiny (e.g., visa runs, inconsistent travel history, undeclared work, past NRM) must disclose this before booking. Certain travel profiles, such as frequent visa runs, inconsistent travel patterns, unclear purpose of stay, undeclared work, or a history of NRM (NOT recommended to enter), naturally draw closer attention from Immigration officers. These cases may require additional preparation, documentation, or risk assessment before a VIP Airport Clearance booking can be responsibly accepted.

TFV must understand these factors in advance to determine whether the service can be safely and ethically provided, and to avoid placing both the client and the service team in difficult or non-compliant situations. Failure to disclose relevant information may result in service complications, unexpected delays, or legal issues at the airport, none of which TFV can control or mitigate once immigration procedures begin. This disclosure requirement protects all parties by ensuring transparency, accurate service planning, and adherence to legal and operational responsibilities.

5.2. Credit Restrictions for High-Risk Clients

Clients denied entry for reasons such as misrepresentation, poor travel documentation, undisclosed previous issues, and/or risk patterns known to immigration, may NOT receive future credits. This stops high-risk passengers from blaming TFV for immigration outcomes outside the control.

6. Legal, Safety & Compliance Standards

6.1. Prohibition of Unlawful Activities

Clients must NOT use TFV’s service to hide prohibited items, support illegal work, avoid immigration penalties, transport restricted individuals, and/or evade investigations. TFV may report suspicious activities when required by law.

6.2. Confidential Operational Methods

All TFV routing, coordination methods, and operational systems are confidential. Clients may NOT record or disclose them.

6.3. Restricted Area Conduct & Media Rules

Clients may NOT record or publish photos/videos of TFV staff in restricted zones, Immigration officers or airport operations, VIP procedures, false claims about TFV’s capabilities. Violations will result in legal action.

7. Service Availability & Force Majeure

7.1. Capacity Control

TFV may decline bookings during peak periods or when operational limits are reached.

7.2. Force Majeure Events

TFV is NOT liable for service failure caused by weather disruptions, political issues, airport closures, system outages, and/or sudden regulation changes. TFV will assist where possible but CANNOT guarantee delivery.

Events such as severe weather, political unrest, airport closures, national security measures, system outages, or sudden regulatory changes are completely outside TFV’s control. These situations can impact airport operations, restrict access to certain areas, suspend VIP services, or alter immigration procedures without prior notice. Because TFV has NO authority over these external factors, it CANNOT be held responsible for delays, interruptions, or the inability to deliver the service during such events. TFV will always provide reasonable assistance within the limits of the circumstances, but these force-majeure-type conditions make it impossible to guarantee service delivery. This ensures that clients understand the inherent unpredictability of such events and prevents unfair liability for disruptions caused by factors that NO service provider can foresee or influence.

7.3. Airport or Immigration Policy Overrides

If authorities impose sudden restrictions, TFV must comply immediately, even if it affects confirmed bookings. Thai immigration rules often change with little notice; this protects TFV legally.

8. Liability Limitations & Compensation

8.1. Limited Liability

TFV is NOT responsible for Immigration delays or denial of entry, missed flights or connections, additional travel expenses, emotional stress or losses, and/or client errors (e.g., no selfie sent). TFV’s maximum liability is limited to the service fee paid.

8.2. Third-Party Vendors

If TFV coordinates with airport contractors or airline staff, TFV is NOT responsible for delays or errors caused by these third parties.

9. Disputes, Public Statements & Legal Jurisdiction

9.1. Non-Disparagement Clause

Clients may NOT publish defamatory, false, or misleading statements about TFV. Disputes must first be submitted privately. Public complaints before private resolution may lead to legal action.

Defamatory or misleading public statements can cause significant damage to TFV’s reputation, business relationships, and operational partnerships. Because online content spreads quickly and is often irreversible, false or exaggerated claims can harm the company even when the underlying issue could have been resolved through simple clarification or internal review. To protect the integrity of the service, its staff, and its business operations, TFV requires clients to address concerns privately first, allowing both parties an opportunity to investigate, clarify, and resolve the matter fairly.

Public complaints made before attempting private resolution may misrepresent the situation, harm other clients’ trust, and disrupt TFV’s ability to provide services. In cases where defamatory or knowingly false claims are published, TFV reserves the right to pursue legal action to protect its business, as permitted under applicable law. This promotes fairness, responsible communication, and a constructive approach to resolving disputes without unnecessary public escalation.

9.2. Recording & Monitoring

TFV may keep internal communication logs for safety, service verification, and dispute resolution. They will never be made public unless required by law.

9.3. Legal Jurisdiction

All disputes are governed under Thai law and must be resolved in Thai courts.

10. Amendments to Terms

TFV may update these Terms & Conditions at any time due to operational or regulatory requirements. Continued use of TFV services constitutes acceptance of the updated terms.

Airport operations, immigration procedures, and regulatory frameworks can change without prior notice. As a service provider operating within these environments, TFV must be able to update its Terms & Conditions to remain compliant with new laws, airport policies, security protocols, or operational requirements. Adjustments may also be necessary to improve service clarity, address emerging risks, or reflect changes in how VIP Airport Clearance is delivered.

Allowing TFV to update the Terms & Conditions ensures that all clients receive accurate, current information that aligns with real-time rules and industry standards. By continuing to use TFV services after updates are published, clients acknowledge and accept the revised terms, ensuring that both parties operate under the most up-to-date obligations and expectations. This ensures transparency, legal compliance, and the ability to provide safe and reliable services in a changing operational environment.
